Job Description

Chalkbeat, a nonprofit education news organization, is looking for a smart, organized and entrepreneurial team member to coordinate our day-to-day operations and help build strong systems to support our rapid growth. The right candidate will be someone who is passionate about operations, is looking for a position that has room for growth, and is willing to work on tasks big and small to further Chalkbeat’s expansion. The ideal team member views operations as a positive support to the organization’s mission, and never as a bureaucratic obstacle to serving the needs of our team. The Operations Associate reports directly to Chalkbeat’s Chief Operating Officer. The key responsibilities for this role include:

Coordinating “human resources” and talent work as we support our current team and build a larger one, including:

– Payroll and time tracking

– Policies and procedures development

– Posting and tracking of available jobs

– Employee onboarding

– Coordination of our performance management system

– Coordinating entries for journalism contests

Providing smart logistics and executive support for our management team, including:

– Coordinating board meeting logistics and preparation of materials

– Scheduling and coordinating a variety of team meetings

– Handling expense reporting for CEO and COO

– Researching and booking cost effective and efficient travel

– Creating presentations for board meetings, all-team meetings and trainings

– Creatively planning and executing internal events with an eye toward culture building (all-team retreat, team meetings, holiday party, happy hours)

Providing a wide range of operations support as we serve our current bureaus and expand to new geographies, including:

– Office management for NYC headquarters, and support for bureaus and remote work spaces

– Researching and purchasing of centralized services

– Financial analysis to support budgeting and growth planning efforts

– Researching and executing document management strategies

Supporting efforts to diversity Chalkbeat’s revenue sources, such as:

– Project management for new revenue initiatives

– Support for donor campaigns

What qualifications we’re looking for:

  • Bachelors degree with significant work experience or Masters degree  
  • At least 2-4 years of relevant work experience (e.g. nonprofit operations)
  • Proven project management and task management ability
  • Superior attention to detail, with excellent analytical skills
  • Ability to build trusting relationships with Chalkbeat’s full team, even in a virtual setting
  • Flexible and comfortable in a work environment where multitasking is the norm, the pace is fast, and priorities will evolve
  • Great problem solving ability
  • Proficient with office software, primarily the Google Suite

Bonus points if you’ve got:

  • Knowledge of the journalism or education field
  • Experience using project management tools (Asana) or document management solutions (e.g. Dropbox, GoogleDrive)
