Job Description
ERASE Racism is a New York civil rights organization based in Nassau and Suffolk County on Long Island. Our two program initiatives are Inclusive Housing and Education Equity. As a small organization with a big agenda, we often work collaboratively, sharing tasks and responsibilities across the organization to work towards our mission of identifying and addressing structural racism, especially on Long Island.
ERASE Racism seeks a motivated and experienced multi-tasker to fill the mid-level position of Administrative Coordinator. Essential components of the role include fundraising and other event management, systematizing efficient office and organizational operations (including office technology), and oversight and execution of communication with the general public, donors and other stakeholders, using a variety of methods and platforms. The successful candidate will possess strong organization skills, fluent professional communication skills, keen problem-solving abilities, meticulous attention to detail, and technology proficiency for effective execution of work tasks.
This position requires between 20-28 hours/week, though may be more during special fundraising periods. The pay range is $30-40, commensurate with experience. You accrue sick time as per New York State law. There are very limited optional benefits for a fee (no organizational health insurance).
Primary Roles and Responsibilities
- Manage our donor database utilizing a CRM and corresponding with existing and prospective donors.
- Coordinate our fundraising efforts, including the Annual Benefit on June 3 with about 300 people (soliciting journal ads and sponsorships, creating a seating chart, managing the Silent Auction, etc. – our honoree this year is Nikole Hannah-Jones).
- Creatively promote our fundraising events and other activities using tools such as Canva and Mailchimp, and collaborate with other staff on organizational communications, including newsletters, website, and social media.
- Manage and track grants, e.g. deadlines for proposal, report, and renewal submissions and assist program staff as needed with grant submissions as appropriate.
- Implement such administrative tasks as ensuring the office technology needs are met, publishing hiring notices, maintaining and updating records and databases, scheduling meetings, etc..
- Oversight of website content, in collaboration with program staff.
- Assisting the executive staff to ensure efficient and effective operation of the organization and onboarding of new staff.
- Maintain organizational equipment and order office and program supplies as needed.
- Maintain equipment inventory records, organizational documents, and files.
- Handle incoming and outgoing mail, general telephone calls, and review our general email-box.
- May prepare relevant reports and Power Point presentations.
Position Requirements
- Proficiency with utilizing Salesforce or another CRM to maintain donor databases.
- Proficiency with MS Office Suite and other office software; digitally competent with virtual communication tools.
- Demonstrated successful planning and execution of events; fundraising events preferred.
- Excellent written and verbal communications skills.
- Familiarity with office equipment (computers and printers),
- At least 2-3 years of work experience in a non-profit organization as an Administrative Coordinator or similar role. Successful execution of at least one large event, preferably a fundraising event. Some nonprofit work experience is required. Nonprofit volunteer leader experience may be substituted with strong relevant work experience in another setting.
This is primarily an in-office position (6800 Jericho Turnpike, Syosset, NY) which requires full in-person hours during special fundraising periods and at the beginning of the role. The ideal candidate already lives in Nassau or Suffolk County and is familiar with this region.
You must have a valid license and an insured car in good working order to commute to work (public transportation is not readily available) and occasionally attend meetings and other activities anywhere in Nassau and Suffolk Counties. You will be reimbursed for travel to outside meetings and events (but not travel to and from the office). You will not be reimbursed for routine taxi and uber type travel.
