Job Description

About the foundation 

The Chamberlin Education Foundation (CEF) is a nonprofit family foundation that supports partners to advance student success in West Contra Costa, CA. The foundation’s grants, programs, and partnerships are designed to generate improved academic outcomes and long-term educational success for K-12 public school students — particularly Black, Latinx, and other historically under-resourced groups — across West Contra Costa’s K-12 public schools.

CEF’s collaborative, mission-driven team has identified the need to design, build, and manage a more robust system for organizational learning, data and asset management, internal evaluation, and periodic reporting to internal and external stakeholders. CEF’s learning, data management, and documentation systems will support overall organizational success across the foundation’s four strategic focus areas, as well as its strategic planning, communications, and community relations objectives.

 

The opportunity 

The Program Manager, Data & Learning Systems, will support the creation and implementation of organizational learning systems, manage relevant data and knowledge assets, and support the CEF team to collect, analyze, visualize, and share key insights with one another, the CEF board of directors, and external partners and stakeholders in the local education ecosystem. Reporting to the Vice President, Strategy & Communications, the Program Manager will co-design and manage evaluative tools to assess the impact of grants, programs, and practices that advance CEF’s mission. The Program Manager will gather and organize quantitative and qualitative data, document results and findings, generate insights, and report on key learnings by presenting information in various formats to team members and other stakeholders. In fulfilling these goals, the Program Manager will strengthen CEF’s ability to evaluate overall programmatic impact, refine strategic plans and focus-area objectives, and ensure that all team members and activities are aligned to advance the foundation’s mission.

 

Candidate profile 

Candidates with 4-6 years of professional experience working with highly-collaborative teams are encouraged to apply. The ideal candidate is curious, conscientious, and eager to develop systems that allow all members of the CEF team to understand, document, evaluate, and share key learnings and metrics of impact. Successful candidates will bring experience managing and organizing information, building databases, designing and refining workflows, and creating reports for internal (and occasional external) audiences. Preferred candidates will show a strong ability to present ideas and plans clearly, and collaborate effectively with team members, contractors, and other stakeholders.

Core responsibilities 

The Program Manager, Data & Learning Systems will:

Co-develop and implement a comprehensive organizational learning system (40%)

  • Establish and support recurring internal learning and reporting cycles
  • Build and sustain regularized systems and practices to monitor and evaluate grant and program impact over time across focus areas
  • Research and build a growing understanding about successful practices and emerging tools used for the management of knowledge assets, data, and organizational learning practices in similar organizations
  • Co-facilitate and support the convening of external advisors and community stakeholders to support CEF’s organizational learning
  • With support from the CEF team, curate and edit information packets and memoranda for the CEF Board of Directors and its committees

Support CEF program officers and executives to access and share timely, relevant information (35%)

  • Analyze student data in West Contra Costa public schools, including academic outcomes, student attendance and enrollment patterns, student survey trends, and other available data that help the CEF team understand student academic growth, education equity, and overall student achievement in West Contra Costa
  • Capture, organize, and share data and information about CEF grants, programs, partnerships, and communications / public relations activities
  • Source, collect, organize, and analyze new data and emerging information about the regional and statewide education ecosystem (eg. student enrollment trends, school funding / budget information, test score data, district and school demographic info, etc.)
  • Build and maintain databases and searchable knowledge repositories
  • Produce reports and visualizations that make data and information accessible, clear, and compelling

 Assist with special projects and annual events (20%)

  • Support CEF team with annual grant program design, implementation, evaluation, and reporting
  • Support CEF team to host and manage successful events and covenings
  • Interact with grantee organizations and partners as needed to fulfill foundation objectives

Publish and promote organizational learning and related content to digital platforms (<5%)

  • Publish and share content via CEF’s digital properties and platforms
  • Promote CEF content via organizational social media channels

Embody the values and principles that align with CEF’s organizational identity and mission 

  • Consistently demonstrate the foundation’s values and guiding principles in team collaboration, as well as in public settings, forums, and online venues, and when working with external partners and stakeholders
  • Encourage and generate positive experiences with CEF’s programs, partners and practices

Candidate qualifications 

  • B.A./B.S. degree from an accredited university (or substantially similar post-secondary education experience); Masters degree preferred
  • Minimum of 4 years professional experience working in a collaborative office environment in any sector. (Masters degree completion may be included in this total.)
  • Working proficiency with Google Workspace (Mail, Drive, Docs, Sheets, Presentations, etc.) and Microsoft Office
  • Advanced proficiency with managing data in spreadsheets (Excel or Google Sheets) including use of formulas, macros, pivot tables, etc. for data consolidation, validation, analysis, and display
  • Strong working proficiency evaluating the quality of data sets and optimizing (i.e. “cleaning”) data using formulas, filters, code, and/or software tools preferred
  • Experience using Customer Relationship Management (CRM) platforms (eg. Salesforce, Hubspot, etc.) or demonstrated desire to quickly learn
  • Working proficiency using Asana (or similar), DocuSign, MailChimp (or similar), and other business SaaS tools (preferred)
  • Experience creating accurate and compelling data visualizations
  • Demonstrated familiarity with and/or commitment to issues affecting youth in West Contra Costa / the San Francisco bay area (preferred)
  • Spoken and written Spanish language fluency or professional working proficiency a plus

  • Base salary of $80,000-$95,000 based on experience
