Job Description

ELIZABETH SCHOOL DISTRICT GRANT COORDINATOR 

Salary:  $35,000 to $45,000

Position Summary

The Grant Coordinator oversees the full cycle of the grant process from discovering grant possibilities, to closing out each grant through year end reporting and audit support, and everything in between. This includes but is not limited to: identification of new funding sources, writing and applying for grants, developing and revising grant budgets, collaborating on grant applications with various District units and community organizations, process and monitor grant related expenditures, ensure accurate accounting of all grant related financial activity, analyze & report budget to actual variances, prepare monthly and year-end financial documents/reports, and assist with annual audit pertaining to grants. In addition, this position provides administrative support to the Operations department and/or Chief Operations Officer. This position reports directly to the Chief Financial Officer.

Position Responsibilities

  • Develop and write grant applications and related documents for the purpose of submitting to the appropriate funding agency.
  • Monitor proposal and funding application requirements including presentation, content, delivery, deadlines, and eligibility for the purpose of utilizing time and resources to maximize successful awarding of grant funds.
  • Demonstrate in-depth knowledge of State and Federal Accounting laws and regulations to ensure overall compliance with State and Federal policies, Colorado Department of Education, and other governmental agencies.
  • Develop forms, processes, procedures, and policies for the purpose of implementing a consistent grant application methodology.
  • Partner with employees throughout the District who are tasked with performing grant-related duties by assisting in training, ensuring adherence to board policy, reviewing account code usage, and resolving financial issues/problems.
  • Develop and adjust budget and spending plans with stakeholders in accordance with each grant’s requirements.
  • Provide detailed reports to the grant stakeholders around the progress of each grant to keep them informed about upcoming deadlines and deliverables, thereby ensuring smooth completion of grant objectives.
  • Prevent and manage operational risk through ensured reporting and cash management compliance related to grants.
  • Manage grant-related purchases, pay, reconciliations and reporting, in a complete and timely manner.
  • Responsible for reporting Requests for Funds (RFFs) directly to CDE, based on district expenditures that generate grant revenue for the District.
  • Support the annual financial audit by ensuring accurate audit files and providing data, as needed, to the Finance Office Coordinator, Chief Financial, Officer, and external auditors.
  • Research grant opportunities for the purpose of developing additional funding resources for both current and proposed services, programs and administrative operations as well as serving as a clearinghouse for potential grant funding opportunities.
  • Attend various grant training and professional development opportunities.
  • Provide necessary administrative support to the Operations department including but not limited to: assisting with any necessary paperwork, orders/expenditures, payroll items, coordinating with staff to meet business office requirements, filing, phone, and email support.
  • Perform other related duties as assigned or requested.

Experience

  • Prior grant experience preferred
  • Knowledge or experience with Lynq (Alio) preferred.
