|
Responsible for processing and monitoring employee extended leave in accordance with district policy and regulation including leave under the guidelines of the federal Family Medical Leave Act; preparing unemployment claim documents.
|
|
Essential Duties and Responsibilities
Daily | 34% | Provide extended leave information and forms to employees upon request including board of education regulation guidelines and master agreement guidelines for personal leave, military leave, extended health leave, and FMLA qualifying leave. Assist employees through the process of applying for and returning from extended leave including acquisition of required documents. |
Daily | 5% | Submit leave request forms to the Chief Personnel Officer for consideration and approval. |
Daily | 5% | Communicate with health providers, disability insurance offices, etc. to verify employee leave eligibility and to procure releases to return to work. |
Daily | 15% | Collect and maintain employee leave records and supporting documents. Maintain computer records for the purpose of monitoring employees on leave. |
Daily | 5% | Create personnel documents for leave including Duty Status forms. Update relevant Human Resources offices regarding employee leave status including payroll, benefits and the Chief Personnel Officer by routing the Duty Status form and establishing regular communication prior to monthly payroll. |
Daily | 5% | Monitor employee use of sick leave in order to correspond with the necessary follow-up procedures Collaborate with secretaries and supervisors with information regarding staff on leave and requests for updates from the site. |
Daily | 5% | Generate employee leave history and leave accrual reports upon request. |
Wkly | 3% | Monitor absence reporting system to confirm employees are entering sick leave. |
Wkly | 3% | Monitor Oracle status and notify relevant payroll employee of changes |
Wkly | 15% | Prepare unemployment claim documents and unemployment hearings as requested by Employers Unity and reviewed by the Directors/Coordinators of Human Resources. |
Wkly | 2% | Manage Key system for ESC 4 employees. |
Yrly | 2% | Scan and electronically file employee leave records for permanent archives. |
Daily | 1% | Perform other duties as assigned. |
High school diploma or equivalent. |

Over 1 year and up to and including 2 years of general office experience, including word processing.
|
|
Attention to detail, strong communication, interpersonal, personal computer, word processing, basic spreadsheet and customer service skills. Knowledge of applicable laws regarding employee leave and unemployment preferred. Operating knowledge of and experience with personal computers, calculator, general office equipment and word processing software. Operating knowledge of financial/payroll software (Oracle) and Excel required within 2 months after hire.

This job has no supervisory responsibilities. Acts as a resource for others throughout the District by approving, processing, tracking and answering questions regarding leaves of absence.

Low exposure to self to bruises and cuts due to typical office accidents and to repetitive motion injuries due to keyboarding.

While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear. The employee is frequently required to sit and reach with hands and arms. The employee is occasionally required to stand; walk; climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus.
