Operations / Administration Teacher Education Program (TEP) Lead Specialist
Job Description
The Teacher Education Program Specialist’s primary responsibility is to coordinate the students and business processes associated with the Teacher Education Program (TEP) operated through the Division of Extended Studies. This position provides consistent and reliable customer service to students, provider partnerships, and other CSU Pueblo offices and departments. This position provides knowledge and support to the Dean of Extended Studies by maintaining course approvals, registration, and invoicing and billing associated with this program.
Primary Duties
Student and Program Support
- Ensures all student registrations, payments, schedules, and grades are transferred to the appropriate University offices and information systems.
- Identifies and resolves registration errors for students and TEP providers.
- Loads approved courses into the SIS system while complying with FERPA and university policies.
- Responsible for maintaining academic policies and procedures and drafting Memorandums of Understanding (MOU) for department and legal review for the TEP providers.
- Develops communications for students using Banner Communication Module (BCM) on registration, payment, and transcript information.
- Establishes and carries out timelines for information and payment transfers amongst Extended Studies offices.
- Creates and disseminates course schedules; monitors course completions and timely entry of grades from Instructors.
- Collects, tracks, and verifies registration and payment information.
- Actively establishes positive working relationships with other staff members to support program efficacy and growth.
- Provides technical assistance to students to resolve IT and accessibility issues.
Budgeting and Invoicing
- Responsible for monthly evaluations of provider financial performance and accounts receivable reconciliation with Extended Studies team members. Evaluates effective reconciliation procedures through invoicing of courses.
- Assists with third-party billing to identify and resolve issues and provide administrative support.
Course Approvals, Renewals, and Information Coordination
- Ensures all new and current TEP providers have updated contact information and documentation (e.g. current syllabi, course instructor credentials, etc.) for all TEP provider course offerings.
- Works directly with the TEP Evaluator to ensure that only courses meeting accreditation standards are scheduled and activated for student enrollment.
- Ensures that providers submit student work samples and corresponding grades for TEP Evaluator deadlines.
- Maintains information on when courses are due for annual renewal/approval. Verifies all file transfers for University information systems and third-party information management systems.
Innovation and Process Improvement
- Collaborates regularly with the TEP Evaluator and other Extended Studies team members to identify process improvement opportunities; develops dynamic workflows to meet the market needs of the TEP Program.
- Develops and monitors efficient processes for data input for registrations and invoicing. Maintains clear records and documentation of data and processes.
- Works with Marketing specialist to maintain the TEP website, materials, and social media ads
Partnership Maintenance
- Maintains professional relationships and MOUs with all TEP Providers, Colorado State University systems, Departments of Higher Education, and other entities formally operating in partnership with assigned programs.
- Identifies renewal timelines and resolves issues for enforcing campus policies and procedures to be followed by TEP providers.
- Identifies and pursues possible partnerships to ensure program growth and sustainability.
Ancillary Duties
Participates in Division and University affairs in Pueblo and throughout the
region that enhance the program’s performance and quality profile.
